System for Supporting Volunteer Activities

Promotion System of Social Contribution Activities

In order to promote the social contribution activities, everyone at the company, including domestic and overseas affiliates' directors, managers, sales company managers as principal to promote the social contribution, also decide the staffs of promoting social contribution. The promotion staffs of social contribution activity cooperate with social contribution promotion group of CSR department, implement the social contribution activities based on basic principle, promote the communication with local communities and report the activities to CSR conference.

Social Contribution & Environmental Conservation Campaign

Fuji Xerox implemented the “ALL-Fuji Xerox Social contribution & Environmental conservation campaign” from Jun. 1st to Sep. 30th in 2007. Fuji Xerox started to hold the “Summer Campaign” in 2003 to encourage employees and their families to be involved in environmental conservation activities. Social contribution has been added since 2007, the campaign aims to provide ALL-Fuji Xerox employees with opportunities for social contribution and environmental conservation activities together with their families in summer season, so that they become aware of how easy it is to take socio-friendly actions, and start to take such actions.

In campaign period, Fuji Xerox calls for participation to the events that can easily participate in willingly such as “Million People's Candle Night” and provides the information of volunteer activities about social contribution / environmental conservation of company.
The employees who take part in campaign log on the website for campaign and report the social contribution / environmental conservation activities of themselves in the period. When the campaign is finished, the employees who get high scores accumulating by the activities they have participated will be commended.

Energy-saving campaigns in summer holiday A total of 275 persons from 123 families of 30 domestic companies participated energy saving activities, the amount of electricity used before and after in the homes of the participants showed a 7.2 percent decrease by checking electric meters at home, creating and implementing ideas of energy-saving, and reducing the CO2 by participating energy-saving activities relating to our lives.

In FY2007, Fuji Xerox and affiliates put this campaign as measure for companywide activities, made more related groups and organizations know about it, and all 43 domestic companies and 10 companies of 20 overseas participated this activity. The number of 1998 new registrants greatly exceeds the original aim (500), the total number of participants to the activity becomes 6,608 persons.

We aim at more expansion and substantiality of this campaign in FY2008 and thereafter, in order to improve global participation with well-known activity, add the programs that can easily participate even in overseas, implement the measures of social contribution & environmental conservation activities for campaigns by individual company.
For all employees including domestic and oversea affiliates, concretely 4 months from Jun.1st to Sep.30th, we will provide opportunities to them to participate environmental conservation activity in companies, regions and homes, aim at improvement and practice of environmental awareness, develop the “Love Earth Action Fuji Xerox (Leafx) campaign” (leaf X campaign). In this campaign, coupling with the activities carried out in the past, implement the energy-saving drive and idling stop thoroughly, such as paste the stickers of ecodrive drumbeating on all about 7,600 company cars in Japan, improve the ecodrive and participation to "green purchase cooperation campaign of 5 million people"*.

*The campaign calls for green purchase network (GPN). When people go to supermarket, co-op, convenience store, department store or street shop, buy season and local food(including producing area), and the non-use of plastic bags. When people go to restaurant, tavern, or fast food shop to have dining, eat the cooking that using season and local food material.

Million People's Candle Night

Fuji Xerox endorses “Million People's Candle Night,” and we invited the employees of affiliate companies including overseas subsidiaries to turn off their lights for three nights from 20:00 to 22:00 on June 22nd, 23rd, and 24th, and to think about the global environment and take the opportunity to connect with their families. As a result, 2640 employees of 11 companies from Japan and 5 overseas companies and their families participated in the campaign.

Black illumination

“Black Illumination” proposed by Ministry of the Environment is the event to turn off the illuminations of companies in the same time of “Million People's Candle Night”. In FY2007, We realized lights-off in 6 offices and 21 affiliate companies, or a total 81 spots, (increased by 2 spots against last year) in Japan, and 9 overseas companies participated for the first time this year.

Other Measures

For energy-saving activities at employees' households, 275 persons from 123 families from 30 companies in Japan participated the project in 2007. Furthermore, individual activities such as road and beach cleaning, Satoyama woodland conservation, collection of old stamps and coins, sale of cakes made by the welfare facilities within the company, Special Olympics Convention/ activities support, nature tours and so forth were carried out in each company.

System for Supporting Volunteer Activities

At Fuji Xerox, we believe that volunteer activities not only contribute to development of society, but they also act as an enabler for personal growth and satisfaction in each of our employees who participate, as well as promote the invigoration and growth of the company itself.
For these reasons, we have set up several systems within our company to support the volunteer activities by the employees. Firstly, an in-company volunteer organization called the “Hasuu Club” provides an opportunity for employees who want to participate in volunteer activities. This club takes fractional amounts from employees' paychecks, together with personal contributions, to gather funds for activities in the fields of “social welfare,” “culture and education,” “protection of the natural environment,” and “international aids.”
For those employees who wish to engage in volunteer activities, Fuji Xerox has established a leave program that allows them to take leave other than paid leave and a sabbatical program that allows employees to take long-term leave to support the participation of activities.

Leave for volunteer activities

Employees may request and take short-term leave for volunteer activities for up to five days per month using unused accumulated paid leave (60 days of expired unused paid leave can be accumulated).
This volunteer leave can be taken advantage of in various ways, such as by participating in a volunteer event that is held on a weekday, participating in the Special Olympics as a volunteer for one week, or even going to a volunteer camp abroad.

Social Service System

If Fuji Xerox employees want to participate in social work activities such as social welfare facilities and Japan overseas cooperation volunteers, it is possible to apply for a sabbatical and take a leave for a period between 3 months to 2 years. During such leave, employees are paid a subsidy equal to their salary and bonuses.
When Fuji Xerox first announced its social service leave in 1990, there were concerns over whether it was really necessary for a company to take approaches to such an extent. On the other hand, there was also voiced concern as to whether there were really going to be employees taking such leaves. Suffice to say, 42 employees have taken advantage of our social service leaves up until now. Currently (Mar. 2008), 1 people are on social service leave.

I participate the volunteer activity in Ghana as a member of Japan Overseas Cooperation Volunteers of JICA using social service system from 2007, be an ICT (IT) teacher in Ghanaian senior high school. I start up PC recycle NGO and make operation support besides teacher's work. In addition, I belong to the village subcommittee which is administrated by cooperation volunteers, and carry out the activities about garbage problems and environmental problems. I am still participating in activities in Ghana now.

I often traveled abroad alone since I was a university student, every time when I received the kindness from unknown people in the travel, I felt so glad and happy. Through such experience, I came to think that “I want to give pure kindness and joy to persons of other countries not for money” and decided to participate in the activities using system. Although I worried about whether I can successfully return to work, but if I gave up the chance to participate to cooperation volunteers, I would always think about this and felt regret one day. Besides the social service leave system, I thank for the understanding of boss who accepted the use of system willingly and colleagues heartily. Until now, former colleagues and predecessors are still donating PCs to the school where I went to be the teacher and help me a lot.

I don't know whether I obtain growth by participating this volunteer activity yet, but I think it is useful learning what I can challenge in Ghana for two years. Although 1 year has passed very quickly from activity begins, but I want to continue the activity for myself and other people in the remaining 1 year. Furthermore, I want to engage with international support activities even after returning to work. I think the problems of global people who are suffering from are not just the problems for them, but we should also consider the issues, may be the formation of this idea is the proof of my personal growth by the challenges in Ghana.

HASUU Club

The HASUU Club is a Fuji Xerox employee volunteer organization established in 1991 as the result of a proposal made by the Committee Investigating Social Contribution Activities. Funds are contributed to the club in increments of less than 100 yen (hasuu) which are deducted from members' monthly salaries and periodic bonuses, and the members may also make voluntary contributions in increments of 100 yen. The funds are donated to volunteer organizations and social welfare facilities which make useful contributions to society or are used to support participation in volunteer activities. When these funds are donated to external organizations, Fuji Xerox donates the same amounts of money (“matching gifts”) on top of these funds.

One of the features of the HASUU Club is its voluntary nature. Selection for grant recipients needs the recommendation of a member, and there is an emphasis placed on the participation of the recommending member in the organization's activities.

Examinations for donations are carried out twice a year, and decided by the HASUU Steering Committee composed of elected members. The company is not involved in decisions regarding the amount of funds or which organizations funds are donated to. Such decisions are instead made by the HASUU Club on an entirely independent basis.

In FY2007, 5 sales companies began HASUU Club activities. By the end of FY2007, HASUU Club and volunteer organization based on it had spread to 32 domestic and two overseas companies (Korea and Shenzhen).

Activities of HASUU Sub-Groups

The HASU Club consists of the following four sub-groups: International Support, Cultural Education, Social Welfare, and Natural Environment. These teams were originally created to develop the specialized knowledge needed to select grant recipients, but now the members of HASU Club themselves are participating actively as volunteers in activities, such as the joint planning of volunteer programs along with grant recipient groups.

International Support

The International Support Team supports organizations involved in overseas welfare, cultural, and environmental activities. In FY2007, we visited the Cambodian elementary school which was built in 2004 by our support donations, and communicated with local children.
In addition to these activities, efforts include participation in the YWCA Exchange Student Conversation Class in which team members talk in Japanese with students from overseas, collecting Japanese-language picture books to send to the children of Laos (Lao translations are displayed on stickers), and holding seminars in which a beneficiary volunteer groups active in Cambodia present reports.

Cultural education

The Cultural Education Team emphasizes support for cultural activities by people with disabilities, from the perspective of achieving comfortable and barrier-free social activities, as well as respecting diversity and individual potential.

  • Able Art (art by people with disabilities) workshops and exhibitions: FY2007 theme, “Through technique of inclusive design to design symbiosis society”
  • Inviting individuals with disabilities to events such as the Xerox Super Cup soccer games and amateur orchestra rehearsals
  • The International Charity Run to raise funds for a summer camp for children with disabilities

The team has emphasized not only the importance of making donations, but also the direct involvement of its members as volunteers, through a wide range of activities mentioned above.

Social welfare

The basic policy of the Social Welfare Sub-Group is to assist the sound everyday lives of people with disabilities. Since 1996, we have been supporting the Special Olympics, a worldwide initiative to assist sports activities for people with intellectual disabilities. Many of our Social Welfare Sub-Group members have been participating as volunteers in activities, such as coaching or administering sporting events. Members of the Social Welfare Team participated Special Olympics Tokyo walk & run held in FY2007.

Team members also conduct a Welfare Facility Present Program, through which they purchase products from welfare facilities and repack and present them to other facilities.

Natural Environment Conservation

The Natural Environment Sub-Group supports activities designed to protect Japan's natural environment. The sub-group makes donations to environmental groups around the country and also visits the sites to confirm the status of their activities, and upon this basis actively conducts nature observation tours and exchanges with recipient organizations.
In 2007, the sub-group held 11 nature observation tours in Tanzawa (Kanagawa), Rokko (Hyogo), Kumanokodo (Wakayama) and other locations, in which a total of 230 people participated. In addition, the Group visited Iriomote Island in June 2007. They communicated with the “Iriomote Island Future Creation Society” and had a tour to Dodomari Beach.

In addition, as a new endeavor, the Natural Environment Sub-Group, in collaboration with the Fureai Network, an employee volunteer group of the Itochu Corporation, carries out a nature observation walk around spots such as the Meiji Shrine, Mt. Takao, and the Miura Peninsula four times during 2006. New forms of exchange with other companies are thus emerging.
