Initiatives for Occupational Health and Safety

Since adopting the “management principles for employee health” at the Corporate Executive Committee in 1996, management and the employees in Fuji Xerox have worked closely together to ensure safety in the workplace and maintain sound personal health primarily through the activities of the Employee Health and Safety Committee and companywide consultations following medical examinations.

Initiatives in FY2007

Fuji Xerox carried out various activities in FY2007 in aiming for “reducing work-related accidents (work-related accident zero), “Establishment and improvement of all Fuji Xerox health and safety systems” and “Preventing business-related healthy impacts”.
We observed the regulations of assigning industrial physicians and hygiene managers in domestic sales companies and affiliates, holding health & safety forum thoroughly, and were working on improving the regulations.
Though our initiatives on carrying out regular medical examinations thoroughly, providing companywide consultations with industrial physicians & hygienists after medical examinations, patrolling workplaces, holding health & safety forum, we are able to reduce work-related accidents and long-term suspensions.

Initiatives for Occupational Health and Safety

It is necessary for us to eliminate differences between Fuji Xerox and its affiliates in terms of occupational health and safety activities, and raise the overall level to an appropriate standard. Even stronger measures were introduced in FY2007 in order to raise the level of health and safety in the overall group.
There is agreement between Fuji Xerox and its affiliates, that building and improving systems for managing health and safety is a priority issue. We are also considering about the establishment of the health and safety systems in overseas operation sites.

Health and Safety Forum

On February 8, 2008, Fuji Xerox held the 6th Health and Safety Forum. These forums have been held every year since 2002 to share information on the results of health and safety activities at different business sites-including sales companies and affiliates -and to enhance the health and safety activities of all business sites, sales companies, and affiliates.143 representatives from 40 sales companies and affiliates were in attendance. In the forum, besides the introduction of specific activities as usual, it was developed with four detailed contents: (1) the responsibility of occupational health and safety committee, (2) mental health care (3) workplace inspection and found comfortable workplace (4) health and safety (industry health protection) activities. The representatives of health and safety business shared the information about the four contents in the forum. The discussion was carried out by groups of different topics that were based on advance hearings from the participants. Fuji Xerox is planning to invite representatives from overseas affiliates to attend the forum hereafter.

Work-Related Accidents

Fuji Xerox places the highest priority on creating a safe workplace, and promotes companywide activities aimed at reducing workplace accidents and injuries.
In FY2007, 35 work-related accidents occurred at Fuji Xerox, causing 5 cases of work suspension. The frequency rate*1 was 0.18, and the severity rate*2 was 0.00. It was widely improved then FY2006.
Fuji Xerox is carrying out steady activities to reduce work-related accidents. Detailed initiatives include introducing cases & awaking attentions in health & safety forum, collecting data, introducing actual cases and preventing recurrence in “Work-related accidents monthly message”. On the other hand, we dig out possible risks and take prevention measures in advance in development & production business sites. In FY2007, we unified the activities in each individual business operations and created unified check sheet for digging out risks. In addition, the system of reporting companywide situations when accidents occurred was introduced.
We will expand the activities to our sales companies and affiliates to promoting our initiatives for reducing work-related accidents.

Supporting Employee Health Promotion

Fuji Xerox adopted the principle, set forth in the Occupational Health and Safety Rules, that "employees are responsible for managing their own health, and that the company will support such employee efforts." In FY2007, the company assigned nine full-time industrial physicians, nine hygienists, and nine full-time hygiene managers to carry out activities focusing on health promotion and disease prevention.

Consultations after Medical Examinations

Since 1994, Fuji Xerox has provided health consultations with industrial physicians and hygienists to all its employees after medical examinations. The aim is to make employees aware of the principle that “employees are responsible for managing their own health.” Irrespective of whether there are findings as a result of medical examinations, industrial physicians and hygienists visit the workplace to provide health consultations after the medical examinations.
This approach provides a number of advantages, including making it possible to provide guidance when the results of a medical examination show a worsening trend but a specific medical problem has yet to be discovered, providing mental health consultations, and enabling industrial physicians to understand the workplace environment since entire employee scope can decrease the resistance to the consultations with industrial physicians and hygienists. The reaction of employees to the system has also been positive because it allows them to inquire without hesitation about health concerns they may have.
However, the system of companywide consultations has not been expanded to all sales companies and affiliates. Fuji Xerox is striving for creating the system to realize companywide consultations as possible as we can. In addition, we are planning to commence the current situation grasp and information collection on related laws for establishing health & safety system in overseas affiliates.

Structure of Companywide Consultations after Medical Examinations

Level Up of Industrial Hygienic Staff

As one point item in FY2007, Fuji Xerox raised “level strengthen for industrial hygienic staff (improve respond ability to problems)”. The hygiene managers and hygienists of Fuji Xerox attended external training courses actively for the level up of themselves. With the aim of level up of industrial hygienic staff in sales companies and affiliates, employees who are in charge of health & safety practices held information sharing meetings in health & safety forum to introduce initiatives in each company. Fuji Xerox will make efforts on providing information through various chances, not only the health & safety forum, and supporting lecture skill learning on small group education for hygienists.

Initiatives for Mental Health Education

Fuji Xerox takes proactive measures to ensure not only the physical health but also the mental well-being of employees. In companywide consultations, physicians check the physical health of employees and the details of their work environment. If health problems emerge, they clarify the causes and then provide support to the employees. From June 2002, a “listener” training course as introduced for supervisory personnel as a venue for learning practical methods of understanding and empathizing with the condition of their subordinates. During FY2007 listener training courses were held 19 times, for a total of 212 supervisory personnel. Up to now, total 1,000, approximately half of supervisory personnel in Fuji Xerox only, have received the training. The training has also been expanded to some sales companies and affiliates.

Industrial Physician's Consultations for Excessive Work Employees

Employees are also obliged to consult with industrial physicians when their overtime work exceeds certain limits (over 100 hours one month or average over 80 hours in two months). As a result of such consultations a health problem is identified, the employee's division head is instructed to reduce his or her overtime work. The number of employees seeking consultations showed a trend of increase at the beginning & the end of the terms while decrease in the middle of the terms, and there are differences by each month. Fuji Xerox will reinforce the cooperation with human resource staff to pursuer improvement.

VDT Training

In light of the increase in work that relies upon computers, we have conducted a companywide intranet-based survey of visual display terminal (VDT) work-which is work that involves extended use of a display such as during PC operation-and we have trained employees on proper work methods. In FY2007, 8,925 employees responded to the health survey and took training courses.
