Solutions and Services Monitoring Work Processes by Tracking Forms and Documents

In office work, people pass around forms and documents. This is where Fuji Xerox applied a system that is known as the POP (Point of Production) in the manufacturing industry's production control process. Even in office work, this system offers a way to monitor operational status, implement the PDCA cycle, and improve operations through collecting and managing real-time data showing the actual work progress. However, the POP has rarely been implemented in office work due to a hefty cost needed to develop a customized system tailored to each client's requirements. Fuji Xerox thereby devised a low-cost POP system for office work that does not require any customized development. This was made possible by combining traceability that tracks forms and documents in the same way as for those used for package deliveries, with unstructured database used for big data management. This paper introduces an example in which we adopted this system to the in-house office work processes and successfully improved both speed and quality of the operations.
